Privacy notice
What's On in Eastbourne collects as little personal data as it can, and only to run the guide. This notice explains what, why, and your rights.

What is collected
When you submit an event
Your name, email address, phone number if you give one, your connection to the event, the time you agreed to the terms, and the event details you send. Your contact details are used to review the submission and get in touch about it. They are never shown on the site.
When you sign up for the Sunday email
Your email address and where on the site you signed up. Nothing is sent until you confirm your address from the email you receive, so nobody can sign you up without you knowing. The email service also records whether each email is opened and which links are clicked, to keep the list healthy and see what readers find useful.
When you send a message
Your name, email address, the topic and your message, sent to the guide's inbox so it can reply.
When you visit the site
Like any website, the servers that deliver it receive your IP address and basic browser details. Visits are counted with Cloudflare Web Analytics, which uses no cookies and builds no profile of you. The forms use Cloudflare Turnstile to check a real person is sending them. See the cookie notice for the details, including the map that loads only when you ask for it.
Published listings
Event listings show the organiser's name and the event details from the organiser's own public page. If you organise events and want your name shown differently, get in touch.
Why, and the lawful basis
| Purpose | Lawful basis |
|---|---|
| Reviewing and publishing submitted events, and contacting the person who sent them | Legitimate interests: running a free, accurate listings guide |
| Sending the Sunday email | Consent, which you can withdraw at any time with the unsubscribe link in every email |
| Replying to messages | Legitimate interests: answering the people who get in touch |
| Finding events on organisers' public web pages, which can name an organiser or give a work email | Legitimate interests: keeping the listings complete and up to date |
| Keeping the site and forms secure and counting visits | Legitimate interests: protecting the site from abuse and understanding how it is used |
No decisions about you are made by automated means, and your data is never sold.
Who else handles it
These services handle personal data on the guide's behalf, under contracts that require them to keep it secure and use it only as instructed:
| Service | What it does |
|---|---|
| Google (Google Workspace) | Holds event submissions in a private spreadsheet for review |
| Cloudflare | Hosts and protects the site, runs the forms and the spam check, and counts visits |
| Resend | Sends emails from the site: submission alerts and confirmations, and contact messages |
| Klaviyo | Sends the Sunday email and keeps the subscriber list |
| Firecrawl | Reads public event pages from trusted sources each morning, so new events can be checked |
| Anthropic | Drafts listings from those public event pages, for review before anything is published |
Some of these services store data in the United States. Those transfers are protected by the UK's adequacy regulations for the United States (the UK Extension to the EU-US Data Privacy Framework) or by the International Data Transfer Addendum to standard contractual clauses.
How long it is kept
- Event submissions: contact details are deleted 12 months after the event, or 12 months after the submission if the event was not listed. The event details stay in the listings archive.
- The Sunday email: until you unsubscribe. Your address is then kept on a do-not-email list, so you are never emailed again by mistake.
- Messages: up to 12 months after the last reply.
Your rights
You can ask for a copy of your personal data, have it corrected or deleted, restrict or object to how it is used, receive it in a portable format, and withdraw consent for the Sunday email at any time. Email [email protected]. You get a reply within one month, or within three months for a complex request, in which case you are told why. Proof of identity may be requested first, so data only ever goes to the right person. There is no charge.
Complaints
If you are unhappy with how your personal data has been handled, you can complain directly to What's On in Eastbourne:
- By email to [email protected], with "Data protection complaint" in the subject line
Every complaint is acknowledged within 30 days of being received. It is then investigated without undue delay, and you receive a written reply explaining what was found, what has been done and your right to take the matter further. You can complain on someone else's behalf with their written permission.
You can also complain to the Information Commissioner's Office, the UK regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113. The ICO usually expects you to raise the complaint with the organisation first.
Changes
This notice is reviewed whenever the guide changes how it handles personal data. The date at the top shows the latest version. The site is for adults in business and is not aimed at children.
